Job purpose:

Principal Accountabilities:

  • Managing the internal communications regarding office ethics and office procedures;
  • Organising the office layout;
  • Maintaining the condition of the office and arranging for necessary repairs;
  • Maintaining supplies of stationery, IT equipment, catering;
  • Organising meetings, accommodation, team buildings and parties;
  • If needed, overseeing training and induction for (new) employee;
  • Link between government institutions (ANAF, OSIM, National Authority for Tourism), and other suppliers, and the company;
  • Analysing offers for new suppliers and invoices from the present ones; maintaining a close relationship with the present suppliers;
  • Work closely with the Marketing Department regarding branded supplies and other products;
  • Delegating work to IT help-desk and managing their workload and output;
  • Creating and/or closing, with the IT technician, the accounts the employee needs/had, by respecting the in / out procedure.
  • Analysing need, offers and, after budget approval, providing supplies (software and hardware) for the IT department;
  • Archiving contracts and having a close eye on the documents (document flow procedure);
  • Arranging regular testing for electrical equipment and safety devices; verifying the security of the office (CCTV, passwords etc.);
  • Recording office expenditure Support the Accounting Department - archives, expense reports, delivering invoices from suppliers;
  • Writing reports for senior management and delivering presentations;

Requirements:

Hard skills
  • University degree;
  • Previous successful track record as an Office Manager, a secretary or PA or an administrative role;
  • Intercultural competence, fluent in English;
  • Ability to use a range of office software, including Outlook, Google spreadsheets and databases;
  • Responsible with documents and maintaining an organized filing systems;
  • Ability to make a complete and relevant research.
Soft skills
  • You are a pro-active team player and have a positive and friendly attitude;
  • You have the ability to find solutions and have an open attitude to any challenge;
  • Multi-tasking;
  • Ability to treat issues with confidentiality, discretion and professionalism;
  • Ability to listen to people’s needs and making sure the problem is solved.
